• All information, including PII (Aadhar, PAN, Bank Details), is shared by the user or organization on their own voluntary consent.
• Consent is explicitly obtained during the employee onboarding process and lead generation phases.
• Users have the right to withdraw consent, noting that certain statutory HR functions (like Payroll) may be restricted without necessary data.

We employ enterprise-grade encryption to safeguard sensitive information:

• Data at Rest: High-sensitivity fields (Govt IDs and Bank Acc) are encrypted using AES-256-CBC protocols. Even in the event of database access, the data remains unreadable without the unique encryption keys.
• Password Security: Passwords are never stored in plain text. We utilize One-Way Cryptographic Hashing (Bcrypt/Argon2) to ensure credentials cannot be reversed or decrypted.
• Data in Transit: All communication between your device and Sevark HRMSpro is secured via SSL/TLS Encryption.

To protect the ecosystem from external threats, we implement:

• CSRF Protection: Every state-changing request (POST/UPDATE) is validated with unique Cross-Site Request Forgery (CSRF) Tokens to prevent unauthorized actions on your behalf.
• Bot & Scraping Protection: Our firewall utilizes advanced rate-limiting and Bot Protection to prevent automated scripts from accessing or "scraping" system data.
• Anti-Data Mining: Strict multi-tenant isolation (Org-ID locking) prevents data mining across different organizations. Your data is your own and is invisible to other entities.

Access to data is strictly regulated through Role-Based Access Control (RBAC). Every sensitive data access event is logged in our Internal Audit Trail, tracking who accessed what information and when, ensuring total accountability.

Sevark HRMSpro offers a 14-Day Free Trial for evaluation purposes. Please note the following critical data policies:

• 10-Day Deletion Rule: Any data uploaded during the trial period will not be saved or recoverable after 10 days following the trial expiry if a paid plan is not purchased.
• Plan Conversion: Data is only migrated to permanent storage upon the successful purchase of a valid subscription plan.
• Mandatory Agreement: All users must sign a valid digital or physical Service Agreement with Sevark Multi Services Pvt. Ltd. to continue commercial usage.

While we prioritize data integrity, the following terms apply to all subscription tiers:

• No Liability for Loss: The Company shall not be held responsible for any data loss occurring after the subscription period ends or due to client-side account mismanagement.
• Daily Backups: We perform Automated Daily Backups to ensure disaster recovery, but these are for system-wide restoration and not individual file retrieval requests.
• Validity: These Terms and Conditions remain valid unless and until the plan subscription is active. Termination of a plan voids the Service Level Agreement (SLA).

To provide high-fidelity performance, periodic maintenance is required:

• Uptime Notice: During server updates or scheduled maintenance, the site/application may experience latency (slowness) or temporary downtime.
• System Improvements: The Company reserves the right to modify the 5-layer UI or backend logic to improve security and performance without prior individual notice.

All technical issues, bugs, or account queries must be raised using our valid Ticket Raising System. Email or verbal requests may not be tracked for SLA compliance.

Support is provided during standard business hours (IST) as defined in the Commercial Annexure.

• Tax Inclusion: All quoted payments and subscription fees are inclusive of applicable taxes unless otherwise specified in the Commercial Offer.
• Failed Transactions: In the event of a transaction failure, the Client must share the Transaction ID with our support team to track the real-time status of the payment.
• Activation Timeline: Plan activation is subject to the mode of payment. Access is granted only upon successful verification; if a payment is later flagged as failed, system access will be revoked immediately.

Sevark HRMSpro operates on a strict No-Refund Policy for active services:

• Finality: Once a payment is successfully processed, it cannot be refunded under any circumstances.
• Discontinuation: You may choose to discontinue services at any point; however, no advance payments will be returned or pro-rated for the remaining term.
• Custom Development: Fees for extra modules or custom development require actual production costs plus taxes and are strictly non-refundable once work has commenced.

For clients opted into approved partial payment schedules, subscription dates and module access will be set accordingly based on the amount received. Failure to complete subsequent installments will result in service suspension.

Refunds are only processed in cases of verified double-billing or overpayment:

• Verification: A refund will only be initiated if the payment has been successfully received in Company Accounts.
• Payment Delays: If a payment is successful on the Client’s side but not received by the Company, the resolution will be delayed until the funds clear into our account.
• Timeline: Verified refunds will be processed within 7 working days from the date the funds are received in our company account.
• Destination: Refunds will only be credited back to the original source account from which the payment was received.
